User story - Packfleet

Challenge

There is so much more to delivering parcels than a friendly knock on your door, with so much work going on behind the scenes, spending precious time navigating payments to suppliers and key actors in coordination and logistics is far from ideal. As a tech-first delivery company, Packfleet wanted its payment processes to rival the efficiency they provide when delivering goods to customers. You would not send a delivery van with only one package, and you would not want to send payments using an arduous and time-consuming method. 

"Previously, making payments had been a very manual process. We would have to type the amounts and bank details into the very unfriendly bank UI. This was not only time consuming, but also mentally unstimulating! It also makes it hard to collaborate on the payment runs, and introduces a high risk of human error both in the payment process and subsequent reconciliation."

On top of taking longer than it should, processing payments manually leads to a higher risk of human error which can result in payments being sent to the wrong recipient. This then wastes even more time, as mistakes need to be corrected and the payment then needs to be reissued. If this occurs too often, the relationship between businesses and their suppliers can become strained. Rob sought to address these challenges, he wanted an alternative to manual payment processing that could banish all his banking bugbears and make collaboration amongst team members easy.  

Solution

By choosing to implement Crezco as their payment solution, Packfleet can keep supplier payments simple. A straightforward import of contacts and invoices from Xero, and a selection of bills to include in bulk payments leaves lots of space to review and check that all beneficiary details are correct. Bulk payments can then be made immediately in a swift and succinct manner or scheduled for a later date.  

"Our payment process has improved significantly - now we simply need to record payment details in Xero (with appropriate access rights), pick the invoices to pay, and authorise the transaction. It is also much easier to collaborate with our external accountants as they can prepare the pay run and send it to me to check and approve."

Packfleet regularly works with external accountants. Crezco is helpful here too. Accountants can prepare pay runs for Rob who can then approve them at his leisure to ensure there are no mistakes and nothing has been missed. Now Packfleet and the accountants they work with can benefit from frictionless, easy, and secure payments to all their suppliers, and save time and money during the process!   

Results

Packfleet has been able to significantly reduce the time they spend paying their suppliers and the risk of error has almost become fictitious. The accountants Packfleet works with have benefitted from Crezco too, the increased transparency and efficiency enabled by sharing and verifying payments has made things easier for everyone.

Packfleet also squashes the possibility of duplicate payments when using Crezco due to the automatic reconciliation of supplier bills in Xero. Even more precious time is saved as reconciliation no longer needs to be a manual process taking up someone’s afternoon.
